How to Plan a Weekend Team Trip

A weekend team trip is not two days — it is the 22 hours from Saturday 14:00 to Sunday 12:00, of which about 7.5 are genuinely usable. We convert the weekend into hours, name the three slots that burn it, and give six questions to settle on one phone call.

1. First, convert "a weekend" into hours

Most people planning a weekend team trip start with "where". Start instead by converting the word "weekend" into hours and you will find the real constraint is not the destination but the clock — and there is far less of it than you think.

Across the 100 whole-property Moganshan rentals we list, the real policies are: 81 admit guests from 14:00, and 90 require check-out by 12:00. In other words, on a standard weekend trip you hold the building from Saturday 14:00 to Sunday 12:00 — 22 hours, not two days.

Those 22 hours still have to absorb 7–8 hours of sleep, 2–3 hours across two proper meals, and about an hour of packing and check-out. What remains for "everyone doing one thing together" is roughly 7.5 hours, and it must be spent in three separate blocks. So planning a weekend trip really means fitting the important thing into those 7.5 hours and filling everything else with things that do not need everyone's attention: eating, showering, free time, sleep.

2. Slot to avoid #1: hitting the motorway between 08:00 and 12:00 on Saturday

This is the slot where money is most often spent for nothing, because it trips two traps at once.

  • Trap one: the peak of the weekend exodus. Heading towards Moganshan, leaving between 08:00 and 12:00 on Saturday typically adds an hour or more to the drive, with heavy traffic — and a large group will often lose each other at the meeting point before it even starts.
  • Trap two: you cannot get into the property anyway. Even if you arrive at the foot of the mountain at noon, you cannot check in — 81 of our listings admit guests from 14:00. You will wait two hours at the gate, or be forced to kill time in a farmhouse restaurant.
  • The combined loss: a 08:00 departure means a 06:00 alarm; a noon arrival means two hours of waiting. The whole morning buys you nothing but "we are here".

3. Slot to avoid #2: heading home after 15:00 on Sunday

This is the exact mirror of Saturday morning — the return peak. Leave Moganshan after 15:00 and the mountain road stacks up against the motorway entrances; a 2.5–3 hour drive can become four, and you get home late with work the next morning.

There is a 30–40 minute error almost everyone makes here: check-out at 12:00 is the time you leave the room, not the time you leave Moganshan. From most properties there is still a winding, slow mountain road before you reach a motorway entrance. So "check out at 12:00, on the motorway by 13:00 for lunch" does not hold.

Worked backwards: if you want to be home before dinner, you need to leave the property by 14:00 at the latest. That means Sunday's activity must wrap by 13:30 — Sunday is really "a morning plus ninety minutes", not a full day.

4. Slot to avoid #3: the two hours after dinner

This is the one I most want you to remember. "Events are permitted" and "how late you can actually make noise" are two completely different things — many organisers confirm the first and assume that settles it.

84 of our listings explicitly permit events, but the quiet-hours distribution is: 22:00 in 25 properties, 23:00 in 18, 21:00 in 9, and 38 with no clause at all. Put that next to your dinner time and the problem becomes visible:

  • Dinner at 19:00, finished by 20:00, quiet from 22:00 → a two-hour evening window.
  • Land one of the nine properties with quiet hours from 21:00 → a one-hour window, and you are packing up almost as soon as you sit down.
  • Only the 23:00 group or the 38 with no clause (56 in total) support "we can properly do something after dinner".

5. Which slot is worth paying for: the Friday-night case

If Saturday morning is pure loss, there is only one fix: leave on Friday evening. It is not free — you pay for an extra night. Here is how to settle whether it is worth it.

  • What you buy: Saturday morning changes from "06:00 alarm plus two hours waiting at the gate" into a clear 09:00–12:00 block, three usable hours.
  • The totals: usable time rises from about 7.5 hours to about 10.5 — roughly 40% more.
  • The test: divide the cost of that extra night by three; that is the hourly price. If the team has a core activity that needs everyone present and alert — a formal meeting, a review, an awards session — it is worth it. If the point is just to be together, arrive Saturday afternoon and keep the night.
  • One condition: a Friday departure must be on the motorway before 19:00, or you have swapped "saving time" for "driving half the night". The final approach is mountain road after dark, so agree your arrival time with the property in advance — 95 of our listings offer luggage storage and 82 can help arrange a car.

6. Six questions to settle on one phone call

Read these out as written. Each one maps to the hours calculated above; get them answered and half the itinerary is already fixed.

  • "Can we check in earlier, say 12:00?" — the default is 14:00 in 81 properties, but that is usually just a cleaning buffer. Asking once routinely buys back one to two hours.
  • "What time do quiet hours start?" — this decides how long you have after dinner. If you plan a party, a fire pit or a film, prioritise the 23:00 group or properties with no clause.
  • "Can Sunday check-out be extended to 13:00 or 14:00?" — Sunday is only half a day, and one extra hour matters. 90 properties check out by 12:00, but late check-out is usually negotiable.
  • "What is the earliest you can serve dinner?" — every half hour earlier extends the evening window by half an hour.
  • "Can we use the kitchen and barbecue, and do we need to register in advance?" — 42 properties have a usable kitchen and 86 have barbecue facilities, but "bring your own food and cook" and "eat what the host cooks" are two different prices. Find out before you arrive.
  • "Can the coach reach the door, and how does parking and seating work?" — 100% offer free parking, but above 40 people you must separately confirm a dining arrangement that seats everyone at once, plus turning space for a coach.

7. Three weekend templates by headcount

The judgement above, as something you can act on. All three share one rule: one main activity only, and leave the rest of the time blank.

  • 10–19 people / save a night: on the motorway before 07:00 Saturday → activity at the foot of the mountain from 10:00 → check in at 14:00 → main activity 15:00–18:00 → dinner 18:30 → light session 19:30–21:30 → Sunday morning walk and group photo, check out at 12:00. One main activity, not two.
  • 20–29 people / with a formal meeting or review: this is Moganshan's thickest band — 42 properties sleep 20–29, and 87 have a meeting or multi-function room. Leave before 19:00 on Friday → meeting on Saturday morning (09:00–12:00, the only block where everyone is awake and uninterrupted) → outdoor activity in the afternoon → evening event → Sunday morning wrap-up. Do not put the meeting and the party in the same block.
  • 30 people and above: only 12 properties sleep 40+, and only 7 sleep 30–39, so the choice is narrow. Fix the property first, then build the itinerary, and confirm coach access and dining that seats everyone at once.

8. In one line

A weekend team trip is not two days; it is the 22 hours from Saturday 14:00 to Sunday 12:00, of which about 7.5 are genuinely usable. Saturday afternoon into early evening is the golden window, Sunday morning is residual value, and Saturday morning and Sunday afternoon are pure loss.

The organiser's real job is to put the important thing in the golden window and let people relax the rest of the time. That is the whole answer to "how should we plan a weekend team trip".
