Chartering a Coach from Shanghai to Moganshan
Matching a coach to your headcount, why a 45-seat vehicle cannot stop at Yucun, the last few kilometres to the house, and how an 8-hour 100-km quote gets exceeded.
1. Three different things hide behind the phrase charter a coach
In practice the phrase covers three quite different products, with prices three times apart and different people suited to each. The first is a scheduled coach: the Shanghai Qiujiang Road long-distance bus station runs to Wukang, Deqing twice a day at 6:30 and 13:00, 42 yuan per head, around four hours. It sells seats to individuals, so it cannot carry a team and you cannot set the meeting time. The second is a hired coach with driver. 2026 Shanghai market reference rates are roughly 1100-1800 yuan per day for a 19-seat minibus, 1200-1500 for a 33-39 seat mid-coach, 1500-2200 for a 45-49 seat coach and 1700-2500 for a 53-57 seat coach. The third is the bookable group transfer the scenic area runs for teams, and this is the one that actually solves getting people up the mountain.
What decides whether that money is well spent is not the price. It is your headcount. Of the 100 houses in the dataset, 39 sleep 10 to 19, 42 sleep 20 to 29, seven sleep 30 to 39 and 12 sleep more than 40. Only four sleep 45 or more, and only two sleep 50 or more.
So the counterintuitive result: the bigger the coach you hire, the fewer houses can take your group. A 19-person team has 62 houses to choose from. A 45-person team has four. Settle the headcount first and the vehicle second; run the order the other way and you will be quoted upward the whole way.
2. The easiest mistake: a 45-seat coach cannot reach Yucun at all
Since November 2018 Moganshan runs a transfer system. Private vehicles are not allowed up the mountain and must change at a transfer centre at the foot. The important detail is that the two routes take different vehicle sizes. The road at the Yucun transfer centre is narrow and only takes midibuses of 19 seats or fewer, about 20 minutes each way. Coaches of 37 seats and above have to use the Fate transfer centre, coming in by the front road and down at Huating, about 50 minutes each way.
That produces the counterintuitive result again: the bigger your coach, the further it drops you from your house. A 19-seat vehicle can stop at Yucun on Huangjun East Road in Moganshan town. A 45-seat coach has to stop at Fate and then work its way back to the accommodation in town. If you do not confirm this in advance it will break the whole morning.
There is one exception for groups: the scenic area offers a bookable group transfer for teams and for guests booked at a house, with cars, minibuses and coaches available, and it runs point to point both inside and outside the transfer centre operating hours. Ask the house when you book whether they can arrange it, rather than working it out at the bottom of the mountain.
3. From the drop-off point to the front door, nobody is responsible for that leg
Calculate every one of the 100 coordinates and the straight-line distance to the Yucun transfer hub has a median of 5.0 km. A quarter of the houses sit within 2.2 km, 37 within 3 km, 50 within 5 km, and the furthest is 16.2 km. Thirteen houses are more than 8 km out.
In other words, after a coach stops at Yucun, most groups still have to walk or take a second vehicle for around five kilometres of mountain road. That is not a comfortable stretch with luggage, with older people, or with children.
And across all 100 houses the words for a coach, bus, minibus, shuttle or bus stop appear zero times, and there is not a single parking capacity record. What you can fall back on is a taxi-hailing service (82 houses) and valet parking (55 houses). So whether a coach can reach the door simply is not in the data. You have to ask each house, and you have to ask the whole question: where does the vehicle stand, how do people walk from there, how long is that leg.
4. The money: eight hours and 100 km is only where the quote starts
Shanghai coach hire is normally quoted on a baseline of eight hours and 100 km in the city, covering vehicle use, driver service, fuel, insurance and routine maintenance. It excludes motorway tolls, parking, driver meals (typically 50 yuan per meal) and the deadhead charge. Overtime runs at 80-180 yuan per hour and each kilometre beyond the allowance at 8-18 yuan. Chinese New Year, National Day and Labour Day add 20 to 50 percent.
The real distance from Shanghai to Moganshan is 190 to 195 km. On the S43 western ring of the Hangzhou bypass the measured run is 192 to 195 km and 127 to 136 minutes, so one leg is already close to twice the baseline mileage. A round trip is 385 km, which is 285 km beyond the allowance. At 8 to 18 yuan per km, the excess mileage alone runs to 2280 to 5130 yuan.
So do not compare the daily rate. Ask three things instead: does the total include tolls and the deadhead, how many kilometres are included before extras start, and how is overtime billed. Some low quotes book you at 100 km and add the rest later, and that is the most common way this line of business goes wrong.
5. The timetable: three hard times close the day down
The access restriction runs every day from 8:00 to 17:30. Vehicles entering the scenic area must use the Wuxi road to a transfer centre, with two exceptions: guests with bookings at in-scenic-area houses may drive up on their booking, and self-driving is free before 8:00 and after 17:30. The sightseeing bus on the mountain runs to 17:30, the last downhill coach from Fate leaves at 17:30, and the scenic shuttle buses stop between 16:00 and 16:30.
The houses keep a different set of hours: 99 give rooms at 14:00 or later and 98 require check-out before 12:00. So the real shape of the return day is out by midday, not lunch and then a bit more sightseeing.
Put together, the rhythm is this. On the first day there is no room before 14:00 and the evening cannot run late. On the second day you pack up at 12:00. A 45-person group that adds one more outing on the mountain will run straight into the 16:00 last bus.
6. Five cases where you should not hire a coach
This is the section worth remembering, because it saves money directly. A coach is not the default option for a company outing, and every one of these holds:
- You have between 20 and 35 people: the minimum charge and the deadhead do not spread well, while the 20-29 band has the most houses (42) and the most choice. Two cars or an existing transfer service cuts the transport bill by more than half.
- It is a half-day event with no overnight: six hours of driving plus one transfer is a poor trade for a half-day meeting.
- Someone in the group cannot take a long drive: three hours of road plus a transfer at the top will undo the trip for that person. High speed rail and a local transfer is the steadier choice.
- Your per-head budget is fixed at a few hundred yuan: at 45 occupants a coach runs roughly 60 to 100 yuan per person per day before tolls and deadhead, which comes straight out of the room and meal budget.
- You only want to eat, drink and sing: 91 houses have a restaurant, 71 have a game room and 56 have a KTV. The venue already covers it, and you do not need to pay for moving the whole group as well.
7. What to do at each headcount
Combining headcount, vehicle size, transfer route and the houses that can actually take the group gives the combinations below.
- 15 to 20 people: a 19-seat minibus or small coach. 62 houses sleep 19 or more, so neither the vehicle nor the choice of house is tight. Stopping at Yucun is easiest, but note that vehicles under 45 seats have little width margin on the mountain road, so say so when you book.
- 21 to 29 people: a 33-seat mid-coach. This band has the deepest choice of houses (42), but a 33-seat vehicle with 25 people leaves seats empty. Two 19-seat vehicles running the Yucun route give you more flexibility.
- 30 to 39 people: a 33 to 39 seat mid-coach. Only 19 houses sleep 30 or more, 12 sleep 39 or more and 12 sleep more than 40. This is where the housing pool starts to narrow, so confirm the house fits 35 before you commit.
- 40 to 49 people: a 45-seat coach. Note this one can only use the Fate route at around 50 minutes and cannot stop at Yucun, and only 4 houses in the dataset sleep 45 or more.
- 50 people and up: only 2 houses sleep 50 or more. A 53-seat coach can be hired, the housing cannot. Split into two houses and two vehicles rather than forcing one.
8. Six questions for the call
Ask these six and there is no information gap left on the coach. The first two are the ones specific to this route; the rest are the standard terms that trip people up.
- "With a 45-seat coach, can you stop at Yucun or only at Fate? What is the difference in time between the two?"
- "How far is it from the parking point to the front door? How do people manage that leg with luggage?"
- "Does the price include motorway tolls, parking and the deadhead? How many kilometres are included, and what is the rate beyond that?"
- "If we are on the mountain until the afternoon, what is the latest we can leave? If we miss the last bus, is there another way down?"
- "Can you book the scenic area group transfer for us in advance? Does it run point to point outside operating hours?"
- "Does the vehicle have operator credentials and passenger seat insurance? Can the contract specify what happens on a delay or a vehicle swap?"
